2. The personal data we collect
We collect personal data in the following circumstances:
When you contact us — through our website contact form, by email, or by phone. We collect the information you provide, which typically includes your name, email address, telephone number, and details about your enquiry: information about your property, your project, your timescales, and any other context you choose to share.
When you become a client — we collect additional information needed to deliver your project, which may include your home address, photographs of your property, your design preferences, and details of any contractors, architects, or other professionals working on the project.
When you book a course — when interior design courses are scheduled, you may purchase a place through our payment provider, Stripe. Stripe handles all payment information directly; we do not see or store your card details. We receive your name, email address, and confirmation that payment has been completed.
When you visit our website — our website does not use cookies for tracking, analytics, or advertising. We don't measure how you use the site, we don't share your browsing behaviour with anyone, and we don't run advertising technology of any kind. The only cookies that may be set during your visit are those strictly necessary for the site to function: for example, when you submit our contact form, our spam-prevention service (Google reCAPTCHA) may set a temporary cookie to verify the form isn't being submitted by an automated bot.
3. How we use your personal data and the legal basis
We use personal data only for specific, defined purposes. Under UK GDPR, every use of personal data must have a "lawful basis". The lawful bases we rely on are set out below:
We do not use your personal data for automated decision-making, profiling, or any form of behavioural targeting.
4. Who we share your personal data with
We share personal data only when necessary, and only with trusted parties who help us deliver our services. We do not sell personal data, and we do not share it with advertisers, marketing companies, data brokers, or any third party for their own purposes.
The categories of recipients are
Our website host — currently Squarespace, Inc. Squarespace hosts the website and processes contact form submissions on our behalf. Squarespace acts as a data processor under our instructions.
Our payment processor — Stripe, Inc. When you purchase a course place, Stripe processes your payment information directly under their own privacy policy and as an independent data controller for that purpose
Our professional advisers — including accountants and, where necessary, lawyers. They handle personal data only as needed for legal, tax, and accounting purposes.
Project collaborators — including contractors, suppliers, architects, and other specialists involved in delivering your project. We share information with collaborators only where necessary to deliver your project, and only with your knowledge
5. International transfers of personal data
Some of our service providers — notably Squarespace and Stripe — are based in the United States. When personal data is transferred outside the UK, we make sure it's protected by appropriate safeguards, which may include the UK extension to the EU–US Data Privacy Framework, UK International Data Transfer Agreements, or Standard Contractual Clauses approved by the Information Commissioner's Office
Further detail about specific transfer mechanisms is available on request.
6. How long we keep your personal data
We keep personal data only for as long as we need it for the purpose it was collected, and to meet our legal obligations:
Enquiries that don't lead to a project — kept for up to 24 months, then deleted.
Client project records — kept for 7 years after a project completes, to meet our legal and accounting obligations and to support any after-care.
Course purchase records — kept for 7 years, in line with HMRC requirements for tax records.
Email correspondence — reviewed periodically and deleted when no longer needed.
Marketing consent records — kept until you withdraw consent, or until the records are no longer relevant.
7. Your rights under UK GDPR
You have the following rights in relation to your personal data:
Right to be informed — to know how your personal data is being used (this is the policy you're reading).
Right of access — to ask for a copy of the personal data we hold about you.
Right to rectification — to ask us to correct any data that's inaccurate.
Right to erasure — to ask us to delete your personal data, in certain circumstances.
Right to restrict processing — to ask us to limit how we use your data.
Right to data portability — to ask for your data in a portable, machine-readable format.
Right to object — to object to certain types of processing, including direct marketing (which you can stop at any time).
Rights related to automated decision-making — though we don't carry out any automated decision-making.
To exercise these rights, contact privacy@johamilton.co.uk. Responses are provided within one month and at no charge in normal circumstances.
8. How to make a complaint
If you have concerns about how we handle personal data, please raise them with us first to allow us to investigate and respond.
If you remain unhappy, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
Information Commissioner's Office

9. Cookies and similar technologies
Our website uses only strictly necessary cookies — small files that are essential for the website to function as you would reasonably expect. We do not use:
Analytics or measurement cookies (we don't track how you use the site)
Advertising or marketing cookies
Social media tracking pixels
Third-party tracking of any kind
Because we don't use non-essential cookies, we don't display a cookie consent banner. You can configure your browser to block all cookies if you prefer; some functionality (such as the contact form's spam protection) may not work correctly if you do.
If this changes in future — for example, if we introduce video embeds, social media embeds, or any kind of analytics — we will update this policy and seek your consent before any non-essential cookies are set.
10. Changes to this policy
We may update this policy from time to time — for example, when we change how we work, when the law changes, or when we add new services. The "Last updated" date at the top of this page will always show when the policy was last revised. Any material changes will be brought to your attention.
